Introducing a new ERP system like SAP Business One represents a major milestone for small to mid-sized enterprises, signaling the outset of a journey aimed at refining operations, boosting productivity, and integrating business workflows. Following the Blueprint phase, we venture into the Realization phase. This is where the configured system is refined through SAP UAT testing and user training, ensuring it aligns with your business’s operational needs. Understanding the collaborative efforts required during this phase highlights the partnership between your team and aclaros, aiming for a seamless transition to operational excellence.

What Happens in the Project Realization Phase?

The Realization phase kicks off with the configuration of the production environment, which includes importing Master Data and creating a test environment for SAP super user training and user acceptance testing (UAT). All roads lead back to the ERP blueprint document that acts as the implementation baseline. Any changes to the baseline are documented and approved before they are deployed and tested. This phase is crucial as it prepares the SAP Business One system for the final cutover, focusing on training, testing, and fine-tuning the system to match your unique business processes perfectly.

Phase Objectives and Activities

The ERP implementation consultants get to work configuring the production environment to ensure the system meets all the requirements defined in the business blueprint. In the cases where development or integration deliverables are included an environment is established to safely build and test the solution before training.

aclaros

  • Production environment is configured based on the approved blueprint document.
  • Test environment is established for initial testing, master data imports, Super User training and SAP UAT Testing aka User Acceptance Testing
  • Consultants test all the processes and configuration defined in the blueprint to ensure system is setup correctly

An ERP without master data is like a home without furniture – functionally impractical. This highlights the importance of ensuring that the master data that you import into SAP Business One is relevant and clean. The realization phase focuses on ensuring that you are able to get the relevant information out of your current systems and get the relevant information translated and imported into SAP. It is a great opportunity to review, clean and purge master data and not move in any unwanted records.

aclaros

  • Generate Master Data Templates from configured database
  • Host Master Data workshop
  • Import master data files provided from customer into the test environment for validation

Customer

  • Extract master data from existing system(s)
  • Identify the master data that is required and what can be purged
  • Translate and populate the templates for data that must be imported into SAP Business One

A key indicator of a successful ERP implementation is ensuring there is a core group of super users in the organizations that will take ownership of the system at go-live. These super users will be across operational and financial departments and understand how SAP Business One support the business. These Super Users will not only be responsible for User Acceptance Testing (UAT) but also end user training. The enablement of these Super Users are of paramount importance and therefore their education and training is a key part of the realization phase.

aclaros

  • Prepare training scenarios and materials
  • Schedule training sessions based completed training matrix
  • Perform training sessions for all processes outlined in the blueprint.

Customer

  • Super users complete fundamental SAP Business One Academy training.
  • Project manager completes training matrix to identify which super users are responsible for which processes and functions.
  • Super users attend assigned training sessions

The ERP system has been configured as per the blueprint, master data has been imported and super users have been trained, now it is time to put the system to the test! Super users are responsible for testing the processes defined in the blueprint that they have been trained on. The super users will test various scenarios in each process to confirm the system works as expected for the business including integrations. In the event that a change is required to the baseline, a change request will be documented, estimated, approved and deployed in the test environment for confirmation.

aclaros

  • Support Super Users during end user testing to clarify any functionality
  • Document, design and deliver change requests

Customer

  • Super Users test and confirm all required business scenarios can be successfully implemented.
  • Communicate any change requests that have been identified during testing
  • Approval of changes and impact to scope, effort and timeline
  • Testing and confirming all implemented changes

At the end of each phase a mutual sign-off is completed to ensure that everyone is in agreement that the deliverables have been met and the project is ready to move onto the next phase.

  • ERP is configured as per the Blueprint
  • Development or integration complete if required
  • Master data workshops and upload
  • Training of Super User
  • User Acceptance Testing
  • Changes are identified, documents, approved, deployed and tested

Preparing for Phase 4:
Final Preparation

As we edge closer to going live, the Final Preparation phase focuses on ensuring both the SAP Business One database and your teams are fully prepared for a successful cutover. This includes conducting end-user training, finalizing user readiness testing, discussing cutover requirements, and preparing for opening balance testing. The goal is to ensure a smooth transition to your new SAP Business One ERP system, minimizing operational disruptions.
